CAFM & Compliance Co-Ordinator

Job Introduction

Pinnacle Group is looking for an experienced office based CAFM & Compliance Co-Ordinator to join our Total FM Division in Morley Leeds LS27. To support the Total FM function by maintaining accurate CAFM data, coordinating statutory compliance activities, assist in dealing with CAFM related issues.

 

Our Total Facilities Management team delivers integrated asset management and maintenance services across education, leisure, corporate, health and residential sectors. We focus on keeping facilities running smoothly, safely, and efficiently – helping our clients create spaces that work for everyone.

 

The role ensures our Total FM contract estates remains safe, legally compliant, and well-managed through strong data integrity, timely document control, and proactive support for internal and external stakeholders.

Key responsibilities will include: 

  • Administer the CAFM system daily, ensuring job tickets, PPM schedules, assets, and user records are accurate and up to date. Raise any issues with the site teams for each contract. 
  • Support team members with CAFM queries, workflows, permissions, and system navigation.
  • Complete routine data audits to maintain data accuracy.
  • Support system improvements and updates with the CAFM & Data Manager.
  • Conduct on-site & teams training, where required, in relation to both Evolution and the MRI Evo Go app. 
  • Ensure statutory inspections (fire safety, water hygiene, electrical, HVAC, lifts/LOLER, emergency lighting) are scheduled, completed, and recorded.
  • Upload certificates, service sheets, and evidence promptly, where applicable.
  • Track expiries and ensure no critical compliance gaps arise.
  • Highlight non-compliance or missed visits to internal teams.
  • Maintain an auditable compliance library.
  • Produce weekly and monthly FM and compliance reports.
  • Track SLA achievement, overdue tasks, and PPM performance.
  • Identify trends, risks, and repeat issues.
  • Support reporting, dashboards, and KPI reviews.
  • Be the first line support for any CAFM/ Compliance issues
  • Support colleagues with FM queries and status updates.
  • Maintain asset registers and ensure new installations are captured.
  • Assist with incident reporting and H&S documentation.

 

Key requirements will include:

Essential

  • Experience using a CAFM platform, Evolution preferably. 
  • Strong organisational and data-handling skills.
  • Understanding of FM compliance requirements.
  • Confident with Excel and digital reporting tools.
  • Professional communication and stakeholder management skills.

Desirable.

  • Experience working in a multi-site FM or compliance team.
  • Awareness of UK FM compliance frameworks.
  • Experience in improving processes or documentation.
